Site Booking Regulations

1. Definition of a Booking

A booking is defined as the act of reserving a vehicle via the website for specific dates and a specific destination, subject to all booking terms and conditions outlined on the site. Each booking includes, among other details:

  • Booker information (name, email, phone, address, etc.)

  • Add-ons selected during booking

  • Each booking is subject to the local supplier's terms and conditions as displayed on our website.



2. Booking Holder

The booking is valid only for the person who made the reservation.
The booking holder must be present at vehicle pick-up and provide:

  • A valid passport

  • A valid driver’s license (including an international permit if required)

  • The credit card used for the reservation

  • Rental voucher



3. Reservation Changes & Handling Fees

A reservation change includes any modification that affects the final price, such as:

  • Changing the Motorhome model or size

  • Changing rental dates

  • Changing the booking holder's name

  • Adding or removing extras

  • Modifying permitted travel distance

  • Changing insurance options

How to request a change:
Send an email to info@rent-motorhome.com from the same email address used when placing the booking. Include your reservation number and the requested changes.

Conditions for making changes:
A. Changes are subject to vehicle availability for the new dates.
B. A handling fee applies to all changes, including the addition of items after the booking is confirmed. The applicable fee is listed on the specific Motorhome’s booking page.
C. The following changes trigger a full recalculation of rental costs based on the current rates at the time of change. The higher of the original or updated price will apply:

  • Renter name

  • Motorhome model or size

  • Pick-up or drop-off location

  • Start or end dates

  • Cancellation followed by a new booking
    D. If the rental period is shortened, the rental station is not obligated to provide a refund. Alternatively, cancellation fees may apply for the reduced days, based on the policy effective at the time of change and at the supplier's discretion.
    E. Changing from a one-way rental to a round-trip rental does not waive the original one-way drop-off fee. If the rental terms include a one-way cancellation penalty, it will still apply.
    F. Postponing rental dates requires:

  • Explicit approval from the local supplier (approval is not guaranteed)

  • An immediate additional deposit, no less than the applicable cancellation fee at the time of the request
    G. Submitting a change request—whether pending or approved—does not postpone scheduled payment deadlines. All payments must be made on time. If a refund is due, it will be processed accordingly.



4. Order Cancellation & Cancellation Fees

Cancellation fees are tiered based on the number of days remaining until the rental start and are displayed in three places for each vehicle on our website:

  • “At a Glance” section

  • “Cancellation Fee” tab on the Motorhome’s info page

  • Final booking summary page

Cancellation fees are determined by the terms of the local supplier and may vary by vehicle.

To cancel a booking:
Email info@rent-motorhome.com from the same email used to make the booking, including:

  • Your reservation number

  • A clear message, e.g., “I would like to cancel reservation no. XXXX under the name [Your Name], for [Date]…”

After we receive the request:

  • If the cancellation fee has not yet been paid, we’ll email you a breakdown of the cancellation cost and a secure link for payment.

  • If at least the cancellation fee has already been paid, we’ll process the cancellation with the supplier and send a confirmation. If a refund is due, details will be provided.

A cancellation is only considered valid once a written confirmation has been issued by us.
General inquiries such as "What happens if..." are not considered cancellation requests.

 

Cancellation of Reservation Due to No Payment

  • If the renter fails to make payment in full and on time according to the reservation terms, Bandana reserves the right to cancel the reservation at its sole discretion.
  • In the event of such a cancellation, if the renter wishes to reinstate the reservation, a re-booking fee will apply.


5. Transferring the Booking / Name Change

To transfer a booking to another person:

Please provide:

  • A photocopy of the new renter’s passport

  • A photocopy of the new renter’s driver’s license

  • A photocopy of the new renter’s credit card (both sides)

  • Contact details of the new renters: email, phone number, and address

  • An email from the original booker (from the email address used for the reservation) confirming the transfer

  • A confirmation email from the new renter accepting full responsibility for the booking, including all terms and payments

The booking price will be adjusted to either the original or the current website price—whichever is higher.
A double handling fee applies to name changes.
After the transfer, no claims such as “I didn’t know / didn’t read / didn’t understand” will be accepted.



6. Payments

Accepted payment methods:

  • Visa or MasterCard (no additional fee)

  • American Express or Diners (3% fee applies)

  • Bank transfer in foreign currency (in the currency of the reservation)

Payment must be made with a credit card in the name of the booking holder. The same card must be presented at vehicle pick-up.

If someone else is paying for your booking:

  1. Send a photo of the payment card to the WhatsApp number on our website.

  2. Send an email from the payer (from their own email) with the following declaration:

7. Customer Responsibilities

It is the customer’s responsibility to:

  • Make all payments on time

  • Provide all required documents

  • Coordinate pick-up or shuttle services if needed

  • Complete early check-in procedures

  • Fully comply with the local supplier’s rental terms



8. Support Outside Office Hours

Our team is available outside office hours for emergencies only (accidents, hospitalizations, etc.).

Other issues (technical, financial, or general) should be directed to the rental station’s customer service or handled during regular office hours.



9. Motorhome Category & Interior Layout

The reservation guarantees a Motorhome category only, similar to standard car rentals.

We cannot guarantee:

  • A specific model

  • A particular interior configuration

  • Precise vehicle dimensions

You may state a preference, and we will do our best to fulfill it.
However, last-minute changes due to maintenance or accidents may occur. The booked category will still be honored.

All images on the site are for illustration only and may represent various models within a category.



10. Additional Terms

  • Failure to collect the Motorhome or refusal to accept it will be considered a same-day cancellation and charged 100% of the rental cost.

  • One-way rental fees apply in all cases, including cancellations or changes made after booking.

  • Prices include taxes based on rates valid on the day of booking. If the tax rate changes before the rental, prices will be adjusted accordingly.

  • Change or cancellation notifications submitted outside office hours will be considered as received on the next business day.

  • The rental agreement is signed directly with the rental supplier. Therefore, any legal claims or disputes must be directed to the supplier and will be handled under the jurisdiction of the supplier’s home country.
