Package Rates
Package Rates: additional charge to the Basic Rates of $35 net per night includes:

Package Upgrade
Package Upgrade Rates: additional charge to the Package Rates of $45 per night includes:
Package Upgrade With a standard rental with El Monte RV Japan, you are responsible for any and all loss or damage to the vehicle from any cause regardless of fault to a maximum of $0 per incident. The optional Package Upgrade is not mandatory. Package Upgrade reduces the customer’s liability for damage to the rental vehicle in the case of an accident to $0 (unless otherwise specified under notes 1-5 below and under Non-Covered Damages). Clients can either purchase Package Upgrade in advance or at the branch (sales tax applies).
Package Upgrade is not an insurance and only reduces the financial responsibility of the renter if the rented vehicle is damaged or stolen.
The Advantages of the Package Upgrade are:
• Eliminates the deductible in case of a loss to the rented vehicle, provided that the renter is not in violation of the Rental Agreement;

• Eliminates the NOC (Non-Operation Charge) in case of a loss to the rented vehicle, provided that the renter is not in violation of the Rental Agreement;
No need to file a claim with your personal car insurance Please note that the VIP Plus Upgrade will not apply if:
1. The renter uses the vehicle in violation of the rental agreement;
2. The renter fails to remove the keys or lock all doors and close windows and the vehicle is stolen;
3. The renter fails to notify us and the police immediately after loss; and
4. The renter fails to pay charges under the Rental Agreement; or
5. As allowed by the applicable cuntry or provincial law

Emergency Restroom Kit
El Monte RV Japan’s units are not outfitted with a standard toilet or shower with holding tanks as commonly found in motorhomes of other countries. However, as a courtesy, an optional emergency portable toilet is provided with each vehicle. If this is taken it should only be used sparingly. One box (20 uses) of disposal restroom kits per trip are provided.
Customers should be aware that these restroom kits cannot be purchased on the road.

Hours of Operation
EMRV Japan location is open every day, including holidays, from Monday to Sunday, 8:00 - 18:00.
Location closing dates are subject to change.

Transfers from Haneda / Narita Airports
• Transfers to and from airports or Tokyo hotels are not provided.
• Hasama Station is approx. 50-80 minutes from Haneda and Narita airports by train.

• Transfer from Narita Airport:
1. Take Keisei Sky Access line (private railway system) at Narita Airport Station to Shin-Kamagaya Station (30 min).
2. Then change trains at 
Shin-Kamagaya Station on Keisei Sky Access line to Tobu Urban Park line for Funabashi station bound.
3. This 
Tobu Urban Park line bound for Funabashi station will take you to Shin-Funabashi Station (10 min).
4. Approx. cost USD8 / 1,130yen.

 Transfer from Haneda Airport:
1. Take Keikyu Kukou line (Private Raileway system) at Haneda Airport Station to 
Shin-Kamagaya Station (60 min).
2. Then Change trans at 
Shin-Kamagaya Station on Keikyu Kukou line to Tobu Urban Park line for Funabashi station bound.
3. This 
Tobu Urban Park line bound for Funabashi Station will take you to Shin-Funabashi Station (10 min).
4. Approx. cost USD10 / 1,350yen.

Pick Up and Return Policies
Pick up time: After 1:00 pm. Subject to vehicle readiness.
• Clients may arrive earlier on their own.
• Latest motor home takeover time is 2 hours before station’s official closing time.
 - We strongly recommend that clients spend their first night in a hotel.
Day of departure: No refund if client picks up later than the booked day of departure.
Return time: Between 9:00 am and 11:00 am.
• A $50+ per hour penalty will be charged for returns after 11:00 am without prior authorization from rental station.
• Early returns: No refund for any reason if rental is terminated by clients before the scheduled return date.

Client Requirements
• Renter (contract signer) must be at least 20 years of age and in possession of valid identification (driver’s license and passport, etc.).
• Renter or all additional drivers must be present at pick up of the rental vehicle and sign the rental agreement. There is no charge for additional drivers.
• Authorized drivers must be at least 20 years of age with a valid driver’s license and identification and be listed on the rental agreement.
• Either an International Driver’s License or official Japanese translation by duly authorities is required.

Security Deposit
• A $1,000 security deposit is required at the time of departure.
• We require that the deposit be guaranteed by a major credit card such as Visa, MasterCard with sufficient credit balance to cover this amount. No ATM/debit cards such as EuroCard or pre- paid credit cards are accepted. Cash or Travelers Checks are not accepted.
• The security deposit will be charged on the customer’s credit card on pick up, then refunded upon return provided that the rental vehicle is returned clean inside, undamaged and on time. The $1,000 may take up to 8 weeks to be credited back to the customer’s credit card. Currency conversion fees are client’s responsibility.

International Address Requirement
• El Monte RV Japan`s International Rental Program and rates are designated exclusively for nondomestic clientele, i.e. for those clients living outside of Japan and having no address in Japan.
• El Monte RV reserves the right not to accept bookings from clients residing within Japan even though they may have reserved through an international wholesaler.

Lost Items
El Monte RV is not responsible for items left in the motor home after client’s return and reserves the right to donate or dispose of them as it sees fit. Left items cannot be mailed to client.

Pets
Pets are allowed, but it MUST be specified when making their reservation.
Client is responsible for all damage and may be surcharged for special cleaning.

VEHICLE SUPPORT & USE
Maintenance and Use Responsibility
Client is responsible for routine maintenance while traveling (checking coolant, oil, tire pressure, etc.), as well as immediately reporting mechanical failures. Clients may be held responsible for mechanical damage due to negligence of operation and/or performing normal maintenance, and may be charged for vehicle down time. (See ‘Loss of Rental’) Tools for vehicle repair and tire change are not provided since clients are not authorized to make repairs.

Reimbursements & Refunds
El Monte RV Japan operates one of the newest fleets in the industry. Yet as motor homes are mechanical devices they may occasionally develop problems.

• For Mechanical problems: In the event of a mechanical problem requiring repairs clients must call On-The-Road Support. A toll free number is provided for assistance with problems, questions, etc. at: 0120-905-747 (toll free), +81(0)3-3437-3131 (from international service provider cell phone, chargeable).
• Travel Agent Assistance: Contacting one's travel agency or tour operator will have no affect on the availability and/or speed of vehicle towing, repairs and/or replacement and no compensation of any kind will be given for communication costs incurred. Clients should be instructed by their travel agency/tour operator to coordinate the repair efforts only with El Monte RV Japan`s On- The-Road Support.
• On-The-Road Support Contact requirement: Clients must contact El Monte RV Japan’s On- The-Road Support and start a Customer Service Log with them and must have followed all instructions, self-help tips, and/or recommendations for repairs.
- Customers declining On-The-Road Support instructions, recommendations or appointments for repairs will not be eligible for lost-use compensation.
- No consideration for lost-use will be given if it is determined any issues were operator error.

• Loss of Rental: Clients may be charged up to the amount of the deductible for company’s lost rental revenue due to the down time based on an estimated time for motor home repair.

 Clients must have contacted El Monte RV Japan’s On-The-Road Support if there are any troubles during their rental period and must have followed their instructions, self-help tips, and/or recommendations for repair. 
• Under certain circumstances clients may be provided a replacement vehicle. El Monte RV Japan, at its sole discretion, reserves the right to determine if, where and when a vehicle exchange will take place.
• In the event of an accident involving an El Monte RV Japan rental vehicle, no matter who was at fault, El Monte RV Japan reserves the right to determine if, where and when a vehicle exchange will take place.
• Under most circumstances if client for any reason was at fault in causing incapacitation of their motor home they will be required to pay the costs incurred in delivering a replacement unit to them as well as any damage deductible up to $5,000 for basic and $1,000 for package rates.
• Should clients violate applicable laws or the terms and conditions by driving intoxicated, under the influence of drugs, or should they fall asleep at the wheel or drive negligently the deductible is voided and the customer will be responsible for all costs involved in replacing, towing and repairing of damaged motor home. Client’s financial responsibility includes but is not limited to the rental vehicle. Clients may be charged ‘Loss of Rental’ for the time needed for recovery and/or repair.

Travel Restrictions
• Clients are restricted from traveling to certain regions due to road conditions, extreme weather, acts of God, security alerts and/or availability of support. Restrictions are subject to change without notice and are determined solely by El Monte RV Japan.
• Clients are responsible for knowing and following the travel restrictions and for informing themselves of possible changing conditions. El Monte RV Japan, to the best of its ability, will provide clients as much information at time of pick up as possible, but is not liable for any delays or detours client may encounter.
• Violation of these travel restrictions voids insurance and coverage options under the terms and conditions of the rental contract.
• Please note the following restrictions:
a. Off-road: Travel on non-public, unpaved and/or ‘logging’ roads is not permitted at any time.
b. Narrow Road: Many roads in Japan are very narrow without signage, and many have many low hanging trees. It is the customer’s responsibility to know the vehicle size and road conditions/restrictions.
c. Winter: Travel during winter months is permitted. However, freezing conditions may occur in spring and fall at higher elevations and should be anticipated and precautionary measures taken. Clients are responsible for any damage due to systems freezing due to cold weather. As a precautionary measure at certain locations water may be replaced by anti-freeze to prevent water systems from freezing. Clients are then not allowed to use any water systems, including the toilet or shower, until they have traveled to areas with consistently above zero temperatures.
d. Summer: Travel in summer months and/or in extreme temperatures can strain motor home systems such as roof and dash air conditioners, generator and refrigerator. We maintain our motor home fleet to accommodate all weather conditions; however, clients should be made aware that performance of motor home systems under extreme conditions cannot be guaranteed.

Traffic Tickets
• Client is responsible for all traffic violations, fines, toll charges and/or citations incurred during the rental period. 
• Client may either pay for the fines themselves, or opt to hand the citation over to the rental office upon return for processing and payment. In addition to the citation amount clients will be charged a $25 administrative processing fee per infraction.
• In the event of customer non-payment or failure to turn over any citations to El Monte RV Japan, clients are responsible for the fine amount plus late penalties. Additionally, clients may be charged up to $250 per infraction for increased administrative processing.

Fuel Consumption
• Fuel costs are client’s responsibility. Diesel tanks are generally full at pick up and must be returned full or the difference will be estimated and the clients charged; or if not full the diesel tank must be returned at the same level as at takeover or the difference will be estimated and the clients charged.
• No claims are accepted as to fuel consumption. Fuel consumption will vary according to where and how a vehicle is driven. No claims are accepted as to fuel consumption if client is upgraded to a larger unit.

 

Toll Roads
There are many toll roads in Japan. ETC card can be arranged. Clients instead can easily pay cash at all toll booths, or by credit cards at certain toll booths.

 

Changes to Reservations
• Changes may be charged $60 per change.
• The following changes will result in a re-calculation of Value Rate. The rate will be calculated using the most current Value Rate and compared to the existing Value Rate the higher rate will be use:
- Change of party name
- Change of vehicle size
- Change of departure location
- Change in departure date
- Cancellation and rebooking
- Change in drop-off date

• Once confirmed, the following changes will not affect the Value Rate:
- Change in party size
- Adding pre-paid items.

 

Long Term Rentals
• Maximum length of one rental is restricted to 40 nights.
• For requests 41 nights or longer, please contact International Reservations for a quote.
• A recalculation of applicable higher (or lower) Value Rate for rentals over 41 nights may be used.
• Cannot book 2 consecutive bookings if first booking is less than 40 nights.
• Customers may be required to accept charges for normal maintenance; examples include but are not limited to: adding motor oil, transmission fluid or brake fluid; oil changes, tire rotation or tire replacement.

Insurance

Basic rates
The following Insurance is included in the basic rates:
- Bodily Injury: death and injury of third-party protection against claims up to $1 Million
- Property Damage: damage to properties of third-party protection against claims up to $1 Million
- Under most circumstances if client for any reason was at fault in causing incapacitation of their motor home they will be required to pay the costs incurred in delivering a replacement unit to them as well as any damage deductible up to $5,000

Package Rates (for purchase)
The following Insurance is included in the Package rates:
- Bodily Injury: death and injury of third-party protection against total claim amount
- Property Damage: damage to properties of third-party protection against total claim amount
- VIP coverage with $ 0 deductible per incident
- Under most circumstances if client for any reason was at fault in causing incapacitation of their motor home they will be required to pay the costs incurred in delivering a replacement unit to them as well as any damage deductible up to $ 0

El Monte RV Japan determines whether or not the clients are at fault for the damage to the rental vehicle. If the clients are not at fault, they do not have to pay for the damage to the rental vehicle. If the clients are at fault for the damage to the rental vehicle, they have to pay the costs incurred in delivering a replacement unit to them as well as any damage deductible up to $5,000 with the BASIC RATES and up to $ 0 with the PACKAGE RATES.

The following conditions are the same condition for both Basic rates and Package rates.
Interior and accessories of the rental vehicle are not covered by the insurance.
Insurance coverage is not applicable in the following examples:
- Accident is not reported to the police
- Accidents caused by driving by a person other than driver and/or additional drivers
- Accidents caused by driving without driver's license
- Accidents caused by drunk driving
- Accidents caused by driving during extended period of rental without our permission
- Negligence in proper use or care of rented vehicle, such as vehicle stolen when left unlocked, loss or damage of vehicle accessories etc.
- Private settlement made without our permission
-Violation of the terms and conditions of Rental Agreement or Road Traffic Law etc.

NOC (Non-Operation Charge):
In case the vehicle became inoperative for any trouble or accident that occurred during the rental, we will charge the driver extra to compensate the business loss depending on repair periods.
When the vehicle was returned to the original returning point
Repair period less than 1 weeks - JPY 50,000 (tax-exempt)
Repair period less than 2 weeks - JPY 100,000 (tax-exempt
Repair period more than 2 weeks - JPY 200,000 (tax-exempt)
When the vehicle was not returned to the original returning point - JPY 300,000 (tax-exempt)

Security Deposit
